Cash Deposit From A Walk-In Customer

A walk-in customer has cash they want deposited into their account. They may know their account number. They may not. Either way, this is the procedure.

Before you start

You'll need:

  • The cash. Count it once in front of the customer. The system will ask you to confirm the count.
  • The customer's account number, or their name. If they have neither — they came in saying "I want to deposit ₦50,000 into my husband's account" without further details — you cannot proceed. Politely ask them to come back with the account number or have the account holder present.
  • Your till must be open. If you haven't done your vault-to-till transfer for the day, do that first — the deposit screen will refuse you otherwise.

CBN consideration

Cash deposits at or above ₦5,000,000 in a single transaction trigger a Currency Transaction Report (CTR) under AML/CFT Regulations (2022) §7.2. The system files this automatically when you complete the deposit — you do not need to do anything extra. But: if the customer is structuring (multiple deposits below the threshold within a short window), flag it to your branch manager. The system will not catch structuring; you have to.

The procedure

1. Open the Teller Transactions screen

From the home dashboard, click Teller Transactions in the left navigation.

If you don't see this menu item, your till isn't open. Go to Vault to till first, then come back.

2. Click "Deposit"

Top-right of the Teller Transactions screen. The deposit form opens.

3. Find the account

You have two ways to find the account, depending on what the customer gave you:

By account number (fastest, do this if you can):

  1. In the Account Number field, type the 10-digit NUBAN.
  2. The customer name appears underneath the field within ~1 second.
  3. Confirm the name matches the person at your counter before you proceed. If the name doesn't match, ask the customer to confirm the account number — don't assume they mistyped.

By customer name (use when the customer doesn't have their account number):

  1. Clear the Account Number field.
  2. Click the Search by name link below the field.
  3. Type the customer's name in the search box. You can type partial names — john ad finds John Adekunle.
  4. The matching accounts appear in a list — name, account number, account type.
  5. Confirm with the customer which account is theirs (some customers have multiple accounts; ask which one they want to deposit into — current, savings, salary, etc.).
  6. Click the row to select that account.
Verifying the customer

You should be able to recognise the customer from their photo on file or from their ID if they're new to you. Don't deposit into an account without confirming you have the right human in front of you — depositing into the wrong account is harder to reverse than refusing the deposit.

4. Enter the amount

Type the cash amount in the Amount (₦) field. Don't enter thousand separators — type 50000, not 50,000. The system shows the formatted figure (₦50,000.00) to the right as you type, so you can confirm.

Count the cash now, in front of the customer. Use the counter you have on your desk. Confirm the count matches what you typed in the system. If it doesn't, recount — the customer may have miscounted, or you may have miskeyed.

5. Pick the denomination breakdown

The system asks you to enter how many notes of each denomination. This is for the cash blotter:

The total must match the amount you entered in step 4. The system rejects the deposit if it doesn't — you have to fix the breakdown.

6. Enter the narration

The Narration field is what appears on the customer's statement. Keep it short and useful — "Cash deposit", "Salary", "Rent", "School fees", etc.

If the customer hasn't told you a reason, just type "Cash deposit". Don't leave it blank — the system requires it.

7. Submit

Click Post. The screen shows a confirmation modal with:

  • Account name and number
  • Amount
  • New balance after this deposit
  • Transaction reference number

Read it back to the customer before clicking Confirm. If anything is wrong — wrong account, wrong amount — click Cancel and start again. After Confirm, reversing the transaction requires branch-manager approval and a posting reversal request (coming soon).

8. Print the receipt

The receipt printer prints automatically after a successful post. Hand it to the customer.

Some customers refuse the receipt — note this in your daily cash blotter ("receipt declined") so the auditor can reconcile if needed.

9. Drop the cash into your till

Don't leave the cash on the counter while you greet the next customer. Drop it into the appropriate denomination slot in your till as soon as the receipt is in the customer's hand.

What success looks like

  • The customer leaves with a receipt showing the new balance.
  • Your till's physical cash count is up by the deposit amount.
  • The Teller Transactions screen shows the deposit in the recent-transactions list at the top.
  • The customer's account balance on the account inquiry screen (coming soon) reflects the deposit immediately — no overnight delay.
